SCOPE prompt:

- Context: They’re a 200-person SaaS company. Main concern in the demo was integration with their existing Jira setup. Decision-maker is VP of Engineering.
- Objective: Get them to book a 15-minute check-in call. Don’t push for a close.
- Parameters: Tone should be peer-to-peer, like one engineer talking to another. Under 80 words. No buzzwords. One clear CTA.
- Example: Something like “Hey [Name], I was thinking about the Jira integration question you raised—we shipped an update last month that addresses exactly that. Worth a quick 15-min call to walk through it?”

Bad prompt: “Summarize this deal.”
SCOPE prompt:
- Situation: This deal is in Stage 3, negotiation. Expected close in 3 weeks.

The Four Prompt Types Every CRM User Needs
Beyond SCOPE, it helps to categorize your prompts by what you’re trying to get the AI to do. I’ve found four types cover about 90% of CRM use cases.

Type 3: Analysis Prompts
These ask the AI to spot patterns, flag risks, or make recommendations based on your pipeline data.
Example for Salesforce Einstein: “Look at all deals that closed-lost in Q2. What were the three most common stages where we lost them? For each stage, what was the average time the deal spent there before going lost? Compare that to the average stage duration for deals that closed-won.”
This type of prompt is where CRM AI earns its keep. A human doing this analysis would need to export data, build pivot tables, and spend an hour in a spreadsheet. A well-prompted AI can surface the pattern in seconds.
Common mistake: Asking for analysis without specifying the comparison. “Are my deals healthy?” means nothing. “Compare my Stage 3 deal velocity this quarter to last quarter” gives you something you can act on.
Type 4: Workflow Prompts
These tell the AI what to automate or what sequence of actions to take based on triggers.
Example for Zoho CRM: “When a deal moves to Stage 4 (Proposal Sent), automatically draft a follow-up email for 3 business days later. The email should reference the proposal document name, ask if they’ve had a chance to review Section 3 (pricing), and suggest two specific meeting times. Flag this task for my review before sending.”
The “flag for review” part matters. I’ve seen teams set up fully automated AI-generated emails and tank their reply rates because nobody checked the outputs. Treat AI-generated workflow content as a first draft, not a finished product.
Building a Prompt Library for Your Team

How to Structure Your Prompt Library

Each prompt builds on the last. By the end, you’ve gone from raw data to a targeted action plan in three steps. This chain takes about 5 minutes. Doing it manually takes half a day.
When Chaining Doesn’t Work
Be honest about the limits. CRM AI tools still struggle with chains that require cross-object reasoning—like connecting a marketing campaign’s influence to a specific deal outcome across multiple attribution touchpoints. If your chain requires the AI to hold too many relationships in context, break it into separate analyses and connect them yourself.
Also, CRM AI isn’t great at detecting sarcasm or subtext in call notes. If a prospect said “Sure, we’ll definitely look at that” in a tone that clearly meant “never going to happen,” the AI will read it as genuine interest. Human judgment still matters for interpreting intent.
Five Mistakes That Kill CRM Prompt Effectiveness
I’ve watched hundreds of reps try and fail with CRM AI. These are the recurring errors.
Mistake 1: Being Too Vague
“Help me with this deal” gives the AI nothing to work with. Specify the deal stage, the blocker, and what you need—an email, a strategy suggestion, a risk assessment.

Your CRM has data. Use it. Instead of typing context manually, reference it: “Based on the call notes from June 15” or “Using the contact properties on this record.” Most CRM AI tools can pull from these fields, but only if you point them there.
